Exporting your ROPA for ICO review or audit

You can export your full ROPA at any time in several formats for sharing with the ICO, auditors, or your board.

Export formats

• PDF — formatted document suitable for board packs, ICO submissions, and audit evidence.
• Excel / CSV — machine-readable spreadsheet for further analysis or uploading to other systems.
• Word (DOCX) — editable document if you need to annotate or customise the output.

How to export

1. 1 Go to Dashboard → ROPA.
2. 2 Click the Export button in the top right.
3. 3 Select your format (PDF, Excel, or Word).
4. 4 Optionally filter by category or status before exporting.
5. 5 Click Download. The file is generated and downloaded immediately.

What the export includes

• All ROPA entries with full field data.
• Linked assets, suppliers, and services per entry.
• Retention periods and statutory bases.
• Data transfer information.
• Export date, organisation name, and DPO details in the header.
