Managing asset owners

Every information asset should have a named Asset Owner — a person who is accountable for how that asset is used, secured, and managed. Asset Owners are typically senior managers or department heads rather than technical staff.

How to add an asset owner

  1. 1 Go to Dashboard → Asset Owners.
  2. 2 Click + Add Owner.
  3. 3 Enter their full name, email address, phone number, department, and job title.
  4. 4 Click Save.

Assigning an owner to an asset

  1. 1 Open the asset (Dashboard → Assets → click the asset).
  2. 2 In the Asset Owner field, search for and select the owner.
  3. 3 Click Save.

Deactivating an asset owner who has left

  1. 1 Go to Dashboard → Asset Owners.
  2. 2 Find the owner and click the edit (pencil) icon.
  3. 3 Toggle their Status to Inactive.
  4. 4 Click Save.
  5. 5 Their assigned assets will be flagged with a "Owner Inactive" warning until a new owner is assigned.

Asset owners receive monthly summary emails listing the assets they own, any overdue retention reviews, and completeness scores below 60%. Configure this in Dashboard → Settings → Notifications.
