Creating and publishing privacy notices
UK GDPR Article 13/14 requires you to provide individuals with a privacy notice when you collect their data. Folelse's Privacy Notices module helps you create, version, and publish privacy notices linked to your ROPA.
Creating a privacy notice
- 1 Go to Dashboard → Privacy Notices.
- 2 Click + New Privacy Notice.
- 3 Enter the title (e.g. "Patient Privacy Notice", "Employee Privacy Notice", "Website Visitor Privacy Notice").
- 4 Select the audience type.
- 5 Link the relevant ROPA entries — Folelse pre-populates the notice with data from those entries.
- 6 Review and edit the generated text.
- 7 Set a Review Date.
- 8 Click Publish.
Publishing to your Public Trust Site
If you have the Public Trust Site add-on enabled, published privacy notices automatically appear on your public transparency hub. The URL is shown in Dashboard → Public Trust Site.
Embedding a privacy notice on your own website
Each published privacy notice has a shareable URL and an embeddable iframe code. Copy these from the privacy notice record and add them to your website's privacy page.
Separate privacy notices for different audiences (patients, staff, website visitors, research participants) are best practice. A single catch-all privacy notice is harder to keep accurate and less useful for individuals.
