Staff acknowledgement workflows

Published policies can be sent to staff for acknowledgement — a digital confirmation that they have read and understood the policy. This creates an audit trail showing staff compliance with your IG training and governance obligations.

Sending a policy for acknowledgement

  1. 1 Open a Published policy.
  2. 2 Click "Send for Acknowledgement".
  3. 3 Select the users or groups who should acknowledge this policy.
  4. 4 Set a Deadline for acknowledgement.
  5. 5 Click Send. An email notification is sent to all selected users.

What users see

Users receive an email with a link to the policy. They must read it and click "I have read and understood this policy" to acknowledge. The acknowledgement is timestamped and recorded against their user account.

Monitoring acknowledgement progress

  1. 1 Open the policy.
  2. 2 Click the "Acknowledgements" tab.
  3. 3 You can see a list of all users with their status: Acknowledged (with date), Pending, or Overdue.
  4. 4 Send reminder emails to pending users by clicking "Send Reminder".

Exporting acknowledgement records

Click Export on the Acknowledgements tab to download a CSV of all users, their acknowledgement status, and timestamps. This is useful for DSPT evidence, CQC inspections, and internal audits.

Ensure you send your Data Protection Policy and Acceptable Use Policy for acknowledgement to all staff at least annually. This is a DSPT requirement and demonstrates an IG training culture.
