Setting up your organisation profile
Your organisation profile is the foundation of your Folelse account. It stores your legal name, address, ODS code (NHS organisations), ICO registration number, and contact details — all of which appear on generated documents, privacy notices, and compliance reports.
How to update your organisation profile
- 1 Go to Dashboard → Settings → Organisation Profile.
- 2 Enter your organisation's legal name exactly as it appears on your ICO registration certificate.
- 3 Add your ICO Registration Number (format: ZA followed by 6 digits, e.g. [ICO Number]).
- 4 NHS organisations: enter your ODS (Organisation Data Service) code. This links DSPT assertions and data sharing agreements to the correct entity.
- 5 Add your registered address and Data Protection Officer (DPO) contact details.
- 6 Upload your organisation logo — this appears on exported PDFs and your Public Trust Site.
- 7 Click Save.
Fields explained
- Legal Name — used on all generated documents. Must match your ICO registration.
- ICO Registration Number — required for Standard UK and NHS organisations. Renews annually.
- ODS Code — NHS only. Used to match you to the DSPT system and NHS data sharing frameworks.
- DPO Name & Email — the designated contact for data protection queries. Shown on privacy notices.
- Organisation Type — NHS Trust, GP Practice, ICS, Private Healthcare, Other UK Organisation, etc.
If you have multiple sites or sub-organisations, set up your primary legal entity here and add sub-organisations under Settings → Organisations / Sites.
Common issues
- ICO number not accepted — ensure you include the "ZA" prefix. The number must be currently registered at ico.org.uk.
- Logo not displaying — upload a PNG or SVG at least 300×100 px. File size must be under 2 MB.
- ODS code not found — check the ODS Portal at digital.nhs.uk/services/organisation-data-service to confirm your code is active.
